Best Practices for Annual Data Rollover

To ensure a smooth transition from one school year to the next, we recommend the following steps:

  • Archive last year’s classes or rooms: With new students and families joining, it’s best to start fresh with new class or room shells each year.
  • Remove withdrawn families to keep your records current and accurate.
  • Maintain a single student profile: Each student should have only one profile tied to a unique student ID for the duration of their time within your district, school, or organization.
  • Ensure all parent/guardian accounts are linked to the correct student profile: This helps maintain continuity and simplifies membership management as students move between classes or schools within the platform.

Following these steps supports cleaner data, easier transitions, and a more efficient experience for your staff and families.

Understanding Class/Group Codes: Generic vs. Family-Specific

Choosing the correct code type is key to maintaining clean and accurate student data:

  • Generic Codes are ideal when students are not pre-rostered by the school or teacher. These codes do not display a student list, which can lead to parents unintentionally creating duplicate student profiles.
  • Family-Specific Codes are unique to each student and their guardians, ensuring they connect to the correct existing profile. To use this option, students must already be added to the class or group, and student access must be set to “individual access.”

Using the appropriate code helps streamline onboarding and prevents profile duplication.
